FAQ

The questions a sales call would answer

What it does, how your phone and website work with it, what it costs, getting started, reviews, running it, and cancelling. No form in front of any of it.

What it does

What does HVAC Uptime actually do?

Four things, working together:

  1. Answers the calls you forward to it and the inquiries from your website, and gets each one to the right person.
  2. Follows up missed calls inside the response time written into your agreement.
  3. Books appointments in the service or estimate calendar set up for you, and confirms them to the customer.
  4. Asks your customers for a review after you confirm a job is finished.

The Control Room shows all of it in one place: what came in, what was missed, who came back, and what needs you right now. A booking stops a follow-up that is no longer needed, and a confirmed job sends the review request without anyone having to remember.

What is the difference between Uptime Core and Uptime Pro?

Uptime Core handles the calls and inquiries coming in and the follow-through on them: call answering, missed-call follow-up, repair and estimate routing, appointment booking, review requests and the Control Room. It is built for a business keeping its field-service software, whether that’s Jobber, ServiceTitan, Housecall Pro or something else: it runs alongside it, reads nothing from it and writes nothing to it, and you give nothing up by choosing it. It is complete on its own.

Uptime Pro is everything in Core plus field management for your office and technicians, for a business that wants us to supply that system as well. It is coming soon: final features and availability will be confirmed before launch. The two are for different kinds of business, not a basic and a better version.

Is it a receptionist service?

It includes AI call answering, plus missed-call follow-up, appointment booking and review requests, with the Control Room showing what needs you. Answering is one part of it, and the follow-through around the call is the rest.

Does it just text back missed calls?

No. Missed-call follow-up is one part. When the caller replies or calls back, they get the same handling as any other call: questions answered, an appointment booked, and anything that needs a person passed to your team. The Control Room shows which callers came back and who still needs a callback.

Will it replace my CRM or my field-service software?

No. Uptime Core runs alongside whatever you use now and handles the calls, follow-up, booking and review requests around it.

It does not integrate with your field-service software, and that isn’t planned. If you run ServiceTitan, Housecall Pro, Jobber or similar, they keep running as they are and HVAC Uptime does not read from them or write to them. Field management is coming in Uptime Pro, where we supply the system rather than connect to yours.

Do I have to switch systems?

No. Uptime Core runs alongside the field-service software you use now, so nothing has to move. It does not connect to that software, so anything you want recorded there, your team keeps adding the way they do today.

Uptime Pro supplies the field system for a business that chooses it. It does not connect to the one you have either, so choosing it means using Pro’s in its place. That is your decision to make, and Core never needs it.

Your phone and website

Does the AI pretend to be a person?

No. If a caller asks, it answers honestly. It is built to handle the call well: the right questions get asked, urgency gets recognized, and the call reaches a person when it should.

What happens to my existing phone number?

It keeps working and it stays yours. You forward it to us, and you can unforward it yourself in minutes.

If you want a second number for tracking, you can have one alongside your existing line. It never replaces the number you already advertise.

What if the AI cannot handle a call?

It escalates to the contact you nominate during setup. You tell us who to reach and when, including after hours and for emergencies, and that is what it does.

If a call was handled badly, you can see the whole thing in the Control Room.

Is voice answering an extra?

No. Voice answering is in Core for every customer at no additional subscription cost. Like every call, it uses phone minutes, which are billed separately at provider rates.

Does it handle inquiries from my website too?

Yes: a website assistant is part of Core. It answers questions about your services, service area, hours and booking, takes the visitor’s details and the reason they got in touch, books appointments against the same calendars, and passes anything needing your decision to you. The conversation and whatever came of it land in the same place as a phone call, in the Control Room.

It answers from the same information your phone handling uses, so both work from the same answers.

It handles inquiries. It is not a customer-service desk: it does not settle complaints, issue refunds, make warranty decisions, argue about an invoice, or troubleshoot equipment. Those reach you.

Do I need a new website for it?

No. It goes on the website you already have: a small piece of code added to your existing site. We do not build you a website, move your website, or redesign it, and that is not part of what you are buying.

What it does need is someone who can add that code: you, whoever looks after your site, or your web provider. If that is not available, the rest of Core still goes live and the website assistant waits until it is.

If you already have a chat box on your site, we sort that out with you first. Two assistants on one page would be worse than one.

Is the website assistant an extra?

No, same as voice answering. It is in Core at no additional subscription cost, and there is no tier that unlocks it.

What it costs

What is the price?

Uptime Core: $599 per month, or $5,990 for twelve months paid upfront (get 2 months free). No setup fee, and no contract on the monthly plan: you can stop at the end of any paid period.

The annual plan is a single charge for twelve months of service, the equivalent of $499 a month. It is not ten installments.

Uptime Pro is coming soon, and its price isn’t published yet.

What is included, and what is billed on top?

Included in the subscription: the whole system, the Control Room, and the AI calling and messaging capability it runs on. No separate AI subscription fee.

Billed separately: phone numbers, call minutes, text messages and email sending. These are metered by our providers at their rates and rebilled to you. They are your usage, and they move with your call volume.

You see the subscription, what it includes and the usage rates before you pay. Nothing appears on a bill that was not shown to you before any payment is taken.

What is the money-back guarantee?

30 days from the day your system goes live, full refund of your first subscription payment, no questions asked. On the annual plan that is the whole $5,990: the payment is refunded and the subscription ends.

The clock starts at activation, not at payment. If we are waiting on your forwarding to be switched over, or on a calendar connection, those days do not count against you.

Request it from the Control Room. We initiate the refund within five business days; how long it then takes to show on your statement is down to your bank. Usage charges you have already run up are not refundable; those are costs our providers already billed.

If I start with Uptime Core, can I upgrade to Uptime Pro later?

Yes. When Uptime Pro launches, you can move to it from Core, on the scope and terms confirmed then. Pro isn’t available to buy yet, and there’s nothing to reserve. Uptime Core is complete on its own, so there’s no reason to wait to get started. Any charge for a move is confirmed with you in writing before it’s taken.

When will Uptime Pro be available, and can I reserve it?

There’s no date yet, and nothing to reserve or pre-order. Final features and availability will be confirmed before launch. Uptime Core is complete on its own, so there’s no reason to wait for Pro to get started.

Getting started

Do I need to get on a setup call?

No sales or setup call is required. We confirm the package and charges by email, then guide you through setup online. A call is available if you prefer.

What do I need to do to get started?

After payment, you’ll receive a questionnaire covering the mandatory business details we need to configure your setup. A few connections need you as well: forwarding your phone line, connecting the calendars we book into, and adding a small piece of code to your website so inquiries there are handled too. Where texting is used, carriers require your business to be registered for it, and we guide you through that. We handle the configuration and testing.

How long does setup take?

We don’t publish a fixed turnaround yet. Setup moves as fast as the connections on your side are done, such as forwarding your line and connecting your calendars. The 30-day money-back guarantee doesn’t start until the agreed system is live, so waiting on setup costs you none of it.

How do you check the system before it goes live?

We configure your setup and place a test call before switching it live. Your 30-day money-back guarantee starts when the agreed system is live—not while setup is still underway.

How reviews work

How do review requests work?

When a job HVAC Uptime booked reaches the end of its scheduled time, you confirm in the Control Room that it is actually finished: one confirmation per completed job. Only then does that customer get the request. It covers jobs HVAC Uptime booked; importing your existing customers is a separate route with its own consent.

The confirmation is the point. The system never assumes a job finished because it was scheduled. An unconfirmed job waits in a list with reminders, so no customer is asked about a job that did not happen.

Which jobs does it cover?

In the current product, jobs that HVAC Uptime booked. Work that came to you another way, such as a walk-in, a call your office took on another line, or a job from last year, is not included automatically.

Importing your existing customer list is a separate route with its own consent, not part of this.

Do you filter out customers who might leave a bad review?

No. Every eligible customer gets the same invitation in the same words. There is no sentiment check, no “how did we do?” screen that routes happy customers to Google and unhappy ones to a private form.

Filtering who gets asked is against Google’s policies and puts your profile at risk.

Will this get me more reviews?

It makes asking consistent: every eligible customer is asked, without anyone having to remember or find the time. Customers decide whether to leave a review, so we will not give you a number.

What we report is what actually happened: how many requests were sent, how many links were opened, and how many new public reviews appeared, each counted on its own.

What exactly do the review numbers mean?

Four separate numbers, and we never add them together.

  • Requests sent: requests our system handed over for sending. Sent is not delivered: whether a request reached the customer is shown only where the email or text provider reports it, and shown as unknown where it does not.
  • Link clicks: the review link was opened.
  • New reviews observed: new public reviews that appeared on your profile.
  • Reviews we can tie to a request: a specific review matched to a specific customer we asked.

A click is not a review, and it is not proof a person opened it. Mail filters, link-safety services and messaging apps open links automatically to check them. Treat clicks as a sign the request is getting through, not as a count of interested customers.

Attribution may be unavailable, and an unavailable result is not the same as zero attributed reviews. The review platforms do not let us match a public review back to a specific customer, so that number shows as unavailable with the reason, rather than as a zero.

Why do reviews matter if I already get work?

Because people choosing a contractor compare reviews, and a business with fewer visible reviews than comparable local competitors gets chosen less often than the quality of the work would predict. Asking every eligible customer keeps your profile in step with the work you already do. Reviews are one input into local ranking, and how close you are to the caller frequently matters more.

Running it

What do my office staff and technicians have to do?

Your office answers when they can, takes the calls HVAC Uptime passes to them, and confirms each finished job with one tap in the Control Room. With Uptime Core, your technicians carry on exactly as they do now. What Uptime Pro would change for them will be confirmed before it launches.

Does it work on my phone?

Yes. The Control Room installs to your home screen from your phone’s browser: no app-store download. The day-to-day works on a phone, because missed calls and callbacks don’t wait until you are at a desk, and a desktop browser shows the full history and settings.

Will it bury me in notifications?

No. Notifications cover three things: something needing an urgent decision from a person, a valuable inquiry nobody has resolved, and something that broke.

A customer not replying to one message is not an alert. Routine activity waits in the Control Room for when you want to look.

What happens when an automation fails?

It is built to be flagged, not hidden, so someone can act on it instead of finding out weeks later.

How does support work?

Email support@hvacuptime.com, or from inside the Control Room. Anything stopping calls reaching you is worked first, ahead of everything else.

What we handle: the setup we configured, keeping it running as agreed, and fixing anything set up wrong. What stays with you: keeping your business details accurate, your phone forwarding in place, access to your website, and the HVAC work itself.

We do not quote response times yet.

Cancelling and your data

Can I cancel?

Any time, from the Control Room. No notice period and no cancellation fee. Cancelling stops your next renewal and you keep full access through the end of the period you already paid for: you are not cut off on the day you cancel.

Who owns my data?

You do. Your customer records, call records and operational data are yours. We hold them to run the service.

We do not sell them, do not share them with other customers, and do not use one customer’s data to make decisions about another’s account. Billing records we are required to keep are kept separately and are not your operational data.
